The Coordinator of New Student & Family Engagement will coordinate programs that encourage and promote a successful transition to university life along with positive partnerships with parents and families in support of their student's educational success. Through collaboration with faculty and staff throughout the university, including departments, academic programs and administration, and with the guidance and leadership of the Assistant Vice President, this position coordinates orientation activities and new student and family programs in support of the university mission and strategic goals.


Duties/Responsibilities:

1. Duties Responsible for planning and execution of all new student orientation programs across all programs including coordination of campus offices and services, overall communication, logistical preparation, content and assessment of programs and services.

  • Develop and execute New First-Year Student Orientation programs for traditional undergraduate students at the Chalon and Doheny campuses with the guidance and leadership of the Assistant Vice President.
  • Coordinate with appropriate departments, faculty and staff to deliver new student orientation information and resources for the following programs: ADN, ABSN, RN to BSN, Graduate, Weekend/Evening College, Online, and others as they develop.
  • Recruit, select, train and develop student orientation staff including Orientation Assistants and Orientation Leaders at both campuses.
  • Provide Orientation Leader training as well as Certified Peer Educator training to student leaders and peer mentors.
  • Coordinate all orientation-related publications, websites, social media, and student databases.
  • Oversee all orientation-related involvement in admissions events for prospective and new students and families.
  • Coordinate the implementation and communication of Everfi programs for AlcoholEdu and Haven (or their equivalent) as they relate to new students. Work closely with Title IX Coordinator, the FYS Leadership Team, and other academic areas on communication to new students about required online courses.
  • Coordinate and facilitate assessment of orientation programs with guidance from the AVP and other departmental staff. Assist in the development of comprehensive reports on program effectiveness and areas of growth.
  • Develop pre- and post-orientation resources for new students. Serve as a resource and provide information to those students who do not attend on-campus orientation programs.
  • Coordinate Welcome Week events and programs in collaboration with various departments across both campuses, and with the guidance and leadership of the Assistant Vice President.
  • Support the AVP with management of orientation departmental budgets which involve compiling, recording transactions and processing financial forms for payments and reimbursements with approval from AVP and processing departmental charges for services.

2. Coordinate Parent/Family Programs at the Chalon and Doheny campuses to provide both new and returning parents/families with the information and resources needed to help support their student at the University.

  • Develop and execute the New Parent/Family Orientation Programs at the Chalon and Doheny campuses with the guidance and leadership of the Assistant Vice President.
  • Serve as a key contact for parents and family members to answer questions or direct them to appropriate areas for additional assistance.
  • Serve as a resource to faculty and staff regarding parent and family issues and concerns and represents the interests of parents and families on University committees, as assigned.
  • Develop and maintain a variety of resources for parents and family members including (but not limited to) the Parent/Family Newsletter, the New Parent/Family Guidebook, and content on social media platforms. Coordinate with faculty/staff on Spanish translation of key resources as appropriate.
  • In collaboration with other campus departments, provide engagement opportunities for parents and families throughout the year.
  • Coordinate assessment of parent and family programs and activities to monitor effectiveness and relevance, as well as identify future areas of interest or needed.

3. Coordinate the fall and spring Transfer Orientation programs at the Chalon campus.

  • Work closely with the Transfer Admissions Counselor to communicate with new Transfer students.
  • Collaborate with Academic Advisement, Business Office, Student Financing, Student Affairs departments and other campus departments on program content for new students.
  • Coordinate program assessment and report on the effectiveness of the orientation program.

4. Coordinate the fall and spring Pre-ADN Orientation programs at the Doheny campus.

  • Work closely with the Nursing Admissions Counselor to communicate with new Pre- ADN students.
  • Collaborate with the Dean of Nursing, Academic Advisement, Student Accounts, Student Financing and other campus departments on program content for new students.
  • Coordinate program assessment and report on the effectiveness of the orientation program.

5. Coordinate the fall and spring Athenian Exchange Orientation programs at the Chalon campus.

  • Work closely with the Traditional Undergraduate Dean at the Doheny campus and staff to communicate with Athenian Exchange students
  • Collaborate with Academic Advisement, Traditional Undergraduate Dean and other campus departments on program content and support for students as they transition between the two campuses.
  • Coordinate program assessment and report on the effectiveness of the orientation program.

6. Coordinate the Mount MentorNet program to provide new students with peer connections to aid in their transition to the university.

  • Recruit, train and develop peer mentors in areas related to first-year student development and strategies for success and retention.
  • Develop publicity and other communications materials to recruit and outreach to new students, including the First-Year Student Newsletter.
  • Develop a comprehensive system to track student involvement and engagement throughout the first year. Work closely with faculty, staff and peer mentors to develop ways to connect at-risk students with the program and its resources.
  • Under the guidance of the AVP, coordinate and facilitate assessment of the Mount MentorNet program to ensure overall quality and effectiveness. Make recommendations based on data collected.

7. Perform other duties as assigned by the AVP at either of the campuses as needed.


Job Requirements:

Knowledge:

  • General knowledge of higher education administration and student development theory.
  • Knowledge and understanding of contemporary leadership models and theories, particularly those applicable to college student orientation.
  • Knowledge of programs aimed at first-year students and their families, including retention strategies and first-year student development, particularly regarding first-generation students.
  • Working knowledge of basic supervision, training and development principles, especially as they relate to student employees and volunteer workers.
  • Sufficient working knowledge of computers and word-processing, spreadsheet, database, web development and/or other software applications necessary to perform this job.

  • Must have excellent conceptual, interpersonal, cross-cultural communication, diversity and problem-solving skills and demonstrate the ability to work effectively with a diverse workforce as well as a diverse group of students and parents/families;
  • Must maintain awareness of current trends relating to the needs of parent/families of undergraduate students;
  • Must be a self-starter who can work independently and as a part of a team;
  • Must manage multiple projects at one time in a fast-paced environment

Education:

  • Bachelor's degree. Enrollment in Master's degree higher education, student affairs, student development or related field preferred.

Experience:

  • Minimum 1 year experience in higher education/student affairs working closely with college aged populations or parents/families of college aged students. Direct experience with orientation and transition programs and a general understanding of student development and student transition issues are preferred.
