Supports the Department of Anesthesia and Department of Surgery Fellowship and Residency programs through closely working under direction of Fellowship Directors (Anesthesia, General Surgery, Otolaryngology), Resident Director (Dental) and Residency Site Directors (Anesthesia, General Surgery, Otolaryngology & Urology) in the management and oversight of multiple training programs in accordance with the Accreditation Council for Graduate Medical Education (ACGME), specialty boards, and subspecialty boards. Works independently assisting the Program & Site Directors in a wide variety of program management and administrative duties, facilitating the evaluation process and preparing and maintaining records for program accreditation. Creates and maintains trainee rotation and departmental education conference schedules. Works with fellows by providing guidance and direction for the successful completion of the training program. The Coordinator will also assure that each educational visitor receives an appropriate orientation to Nemours. Works closely with Nemours and Thomas Jefferson University staff and with accrediting agencies to ensure program compliance as well as with the Graduate Medical Education office, other GME Coordinators, Department Chairmen, fellows and educational visitors.

Essential Functions:

  • Provides administrative assistance to the Anesthesia Fellowship Program Director, Surgical Division Fellowship Directors, Dental Residency Director, Anesthesia Residency Site Director, Surgical Division Residency, Site Directors, multiple Fellows, Dental Residents and educational visitors.
  • Assists with the development and implementation of divisional and departmental procedures and policies as pertinent to department office operations: assists in development of policies and procedures in response to various government and regulatory bodies (e.g. RRC, ACGME, Jeff FMEC, ABP, NRMP, ERAS, AAP, etc.):

Assists in the development and implementation of and compliance with all policies and procedures relevant to the Fellowship & Residency Programs.

Prepare documentation for RRC site visits as needed.

Assist fellowship coordinators in use of New Innovations preparation for ACGME site visits and survey

  • Coordinate all aspects of the trainee and educational visitor application process including responding to inquiries, evaluating applications, reviewing and verifying credentials, generating follow-up correspondence and maintaining appropriate records. This includes initiating and processing educational visitor contracts when applicable as well as overseeing Department / Division Administrative Assistant interview scheduling efforts.
  • Own on-boarding and off-boarding processes for Fellows, Residents, educational visitors & PA moonlighters for General Surgery including:

Assure house staff and educational visitors are appropriately licensed, insured, HIPAA trained, have appropriate immunization status, and comply with background check and drug screening.

Facilitate application and renewal of Delaware training licenses for Nemours employed Fellows / Residents as well as Residents rotating through our Site from partner programs.

Supply orientation materials to trainees as needed

Serve as gatekeeper for approval for computer access and use of Medical Records. Submit Epic requests for all educational visitors and coordinate scheduling of appropriate training on hospital systems.

Enter house staff information into tracking system as required

Enter and maintain listing of house staff information using hospital GME database

Coordinates and facilitates trainee checkout process, exit interviews with program director, and preparation of all final evaluations

  • Function as Departments point person for managing administrative aspects of training programs:

Process and track fellowship off-site rotations

Contribute to the development of trainee Program budgets;

Assembles data for budget development;

Conducts research for new Program initiatives;

Investigates costs of new projects and researches new funding resources.

Monitors all expenditures for fellowship and residency programs

Assist Business Manager in data collections for GME reimbursement; verify and process check requests for background check, laboratory vendors, etc.

  • Prepare bi-annual GME reports for the Board & year-end GME report
  • Serve as Level I supervisor for Nemours employed Fellows, Residents & APP Moonlighters who cover gaps in General Surgery resident schedule in WorkDay and Kronos Timekeeper to same Associates Other duties as requested by Administrator


  • Graduate from an accredited two year college or university or its equivalent in experience
  • Minimum of 1 year experience in health care setting or Graduate medical education Program setting
  • Knowledge or ability to acquire knowledge quickly, of the regulatory and accreditation standards for house staff and educational visitors
  • Computer literacy - excel, access, PowerPoint
  • Knowledge of medical terminology
  • Must be able to maintain emotional stability, adapt to frequent interruptions, and possess organizational savvy and strong communication skills.
